Module: Groups Settings

Groups are categories that you can create, such as DepartmentsLocationsEmployee Types, etc. 
Ideally, groups should be created with a hierarchy of 2 levels or more.

Groups can be assigned to any entity (company, project, employee, etc.) using the Groups module.
You can use groups to filter and report on these categories in the modules Report and Chart & Table.

Groups can also be used to make bulk selections in certain modules, such as Exclusive Members or Team.
Rather than selecting employees one by one, you can select an entire group with the Add groups button.

To use the Groups Settings module you must be an account Admin, then:
  1. Click on Settings in the top right of your account
  2. If the Groups Settings module is not already visible in the settings screen, you can add it using the Customize button in the top right corner (read how)

Create a Reporting/Filtering Structure

With the Groups Settings module you can create a hierarchy as complex as you want. This could be a list of locations or offices where your company works, a list of departments, etc.

  • To create a new structure click on the field marked "Type here the name of a new group" and name the top level of your hierarchy (for example, "Offices" or "Departments"). 
  • To create a new level under an existing group, click on the "+" on the left (for example, "New York" or "Marketing").
  • To delete an existing group, click on the red X on the right. 

Assign Groups to Companies, Projects, Employees, etc.

Groups can be assigned to an entity (an employee, project, company, etc.) using the Groups module on that entity's page.

  • First, go to the screen of the entity you want to assign the group to.
  • Locate the Groups module. If not already visible, you can add the module using the Customize button in the top right corner (read how). 
  • Click on Add Group. The groups and subgroups that you have already created in the Groups Settings module will appear. 
You can assign as many groups as you want to an entity.
To remove an entity from a group, click on the "x" to the left of the group name.

Reporting and Filtering on Groups

The main advantage of groups is that they can considerably expand your reporting capabilities by filtering results with them. 

You will be able to view results per department, country, or any other group hierarchy that you have put in place.

IMPORTANT: Group priority in reports when used for multiple entities

If you assign the same group to multiple entities, priority will be given in the following order:
  • person 
  • absence 
  • task 
  • sub-project 
  • project 
  • company 
For example, if you assign Department/HR to a person, and Department/IT to a project, the hours this person tracks for said project will appear under Department/HR (as "person" comes before "project" in the above list).
