Module: Groups

Groups are categories you can set up in the system, such as: Departments, Locations, Matrix organization, ...
To keep it flexible for the future, the groups should be a hierarchy(of 2 levels or more).

These groups can be assigned to any entity (Company, project, person, ... ) in order to group them and finally be able to filter and report on those groups in the modules Report and Chart & Table.

It can also be used to speed up selections in modules such as Exclusive Members or Team. Instead of selecting the employees one by one, you can directly select a group of employees.

To start using the Groups module, you have to be an Admin of your account then:
  1. Click on the top right menu Settings
  2. If not present in the settings screen, add the module from the catalog into your screen (Read how)

Create your reporting/filtering structure

With the Groups module you can create as many multi-level structures as you want. It can be a list of Locations where your company is active, a list of departments, ...

  • To start creating a new structure click on "Type here the name of a new group" and start writing.
  • To create a new level under an existing group, click on the "+" on the left, in this example, you can create sub-groups under "HR" doing so.
  • To delete an existing group, click on the red cross on the right.

Assign Groups to companies, projects, employees, ...

As soon as you will have created your first groups in the Groups module, a new button "Add groups" will appear in the Details modules of all your entities (Person Details, Company Details, Project Details, ...)

First, go to the screen of the entity you want to assign a group to.
Click on "Add groups" under the details module and the structures you will have created under the Groups module will then appear. You can assign as many groups as you want.

As soon as a group is assigned it will appear on the left of the Add groups button.
To unassign a group, you can uncheck it in the list or simply click on the blue cross next to the group name

Reporting and filtering on Groups

The main advantage of groups is that it considerably extends your reporting capabilities by the possibility of filtering results based on the defined groups.

You can now see your results per department, country, ... or any structure you would have put in place in an easy way.

IMPORTANT: Groups order and priority in reports when used on multiple entities

If you assign the same group to various entities, the system will take them in the following order:
  • person 
  • absence 
  • task 
  • sub-project 
  • project 
  • company 

As an example: if you assign Department/HR to a person, and Department/IT to a project.
The hours of the person recorded on the project will fall in Department/HR (person is the first taken).
