Module: Groups


Groups are categories that you can create, such as Departments, Locations, Employee Types, etc. 
You can use groups to filter and report on these categories in the modules Report and Chart & Table.
Groups can also be used to make bulk selections in certain modules, such as Exclusive MembersIs Team Leader Of and Project Manager.
Rather than selecting employees one by one, you can select an entire group with the Add groups button.

Groups can be assigned to any entity (company, project, employee, etc.) using the Groups module.

Assign a Group

  • First, go to the screen of the entity you want to assign the group to.
  • Locate the Groups module. If not already visible, you can add the module using the Customize button in the top right corner (read how). 
  • Click on Add Group. The groups and subgroups that you have already created in the Groups Settings module will appear. 

You can assign as many groups as you want to an entity.


Remove from Group

To remove an entity from a group, click on the "x" to the left of the group name.

Time-Related Assignments (Optional)

In some cases, you may want to assign an entity to a group for a specific period of time.
A simple example would be an employee switching departments, or changing offices.

In this example, the employee worked in the New York office from October 1, 2017 until the end of September 2018, when he/she moved to the UK office.

To set dates for a group assignment, click on the calendar icon to the right of the group name.
You will be able to select one date, which will be considered the start date of the assignment.
If there was another group of the same type already assigned (for example, "Countries" or "Departments"), this previous assignment will automatically be delimited.

In this example, before the employee moved to the UK the module looked like this:

When the UK group assignment was added with a start date of October 1, 2018, the NY assignment was automatically delimited and marked as having ended on September 30th.

Impacts of Time-Related Assignments

Using dates for group assignments will have an impact on your reports.
If you run a report for the employee from our example, the hours he/she recorded from October 1, 2017 until September 30, 2018 will appear under the NY office. Hours recorded from October 1, 2018 onwards will appear under the UK office.

Using dates for group assignments will also impact Exclusive Members, Is Team Leader Of and Project Manager if you use groups in these modules.
In these cases, the added group will only include valid members for the current date.
